Who you are:
Hometap is seeking a dedicated and highly organized Executive Assistant to support our CEO. The Executive Assistant will serve as a crucial partner to the CEO, ensuring that all operational and administrative tasks are managed effectively. This is a full-time role for a Boston-based candidate who is available to work in-person on a hybrid schedule. You’re a great fit if you’re an experienced Executive Assistant with exceptional organizational skills and a collaborative, forward-thinking approach. You bring a keen ability to anticipate needs and prioritize tasks in support of facilitating the CEO’s ability to focus on strategic initiatives.
What you’ll do:
- Efficiently manage the CEO’s calendar by scheduling professional & personal meetings, prioritizing appointments, and coordinating travel plans
- Prepare agendas, gather necessary documents, and ensure all logistics are in place for meetings, including Board of Directors meetings
- Act as the point of contact between the CEO and internal/external stakeholders, facilitating clear communication and scheduling meetings on behalf of the CEO
- Manage sensitive information with the utmost confidentiality and discretion
- Monitor and track expenses, preparing and submitting reports on a monthly basis
- Assist in organizing events, conferences, interviews and other engagements, ensuring the CEO's participation aligns with strategic objectives
- Arrange seamless travel plans, including transportation and accommodations, ensuring the CEO is fully prepared for each trip
- Anticipate the CEO's needs and provide timely support to enhance productivity, including creating to-do lists and prioritizing tasks
- Develop knowledge of Hometap's business model and mission to make informed decisions regarding scheduling and priorities
What you bring:
- 4+ years of experience as an Executive Assistant, preferably in a startup or fast-paced environment. Experience assisting a financial services executive is a plus.
- Highly professional demeanor, with the ability to communicate effectively with internal and external stakeholders
- Exceptional organizational abilities with a proven track record of managing multiple priorities in a dynamic environment
- Excellent verbal and written communication skills, with the ability to craft clear messaging quickly and responsively.
- Strong judgment and decision-making skills, with the ability to handle confidential information responsibly.
- Technically savvy - comfortable navigating and troubleshooting systems including Google Drive, Zoom, Slack, Dropbox, etc.
- Comfortable with time-sensitive planning and able to adjust to changing priorities swiftly, both during and after business hours.
- A strong collaborator, fostering positive relationships both internally and externally
- Located in the Boston area and able to be in-person at Hometap’s Back Bay office or elsewhere in the area as needed and on short notice
